About The Role
Ventia have been engaged by the DJCS (Department of Justice and Community Safety) to provide integrated Facility Management services incorporating planned, remedial, and reactive maintenance services, ad hoc services, and soft services including cleaning, ground, pest, and waste streams.
The Department has a diverse and complex property portfolio, with this opportunity spanning over 24+ properties, ranging from Minimum to Maximum security correctional facilities; Post Sentence Facilities, Youth Justice, SESG training centres, and community fire refuge centres.
As our scope of works has expanded, we are now seeking a vibrant and energetic Maintenance Scheduler to assist in the proactive and reactive maintenance of these facilities based out of our offices in Cremorne, VIC.
The Maintenance Scheduler will be responsible for the following:
- Ongoing management, maintenance, and administration of PMs within SAP
- Manage and communicate bookings for PMs across Service Delivery Managers, Facility Managers, and Vendors
- Scheduling and dispatching of planned maintenance to internal/external workforce
- Oversight of planned maintenance program delivery
- Ensure PM KPI compliance
- Audit of PM records
- Maintain good robust relationships with all Stakeholders
- Develop and maintain strong site operational knowledge
- Familiarity with systematised approaches to information management
- Exposure and competencies with CMMS systems and MS Office
- Work with our Commercial Team to ensure all allocation matrices are kept up to date
- Accurate preparation of client facing reporting
- Understanding of Essential Safety Measures in Victoria
- Push reporting to ensure response rates and outcomes of PM delivery can be managed
- Coordinate site bookings and access for scheduled maintenance delivery
- Identify and implement continuous improvement opportunities
About You:
To be successful in this role, you will have experience working as a Maintenance Scheduler, or similar type activity that has transferable skillsets. This would ideally be in large complex and time critical facilities or services environments, or even large logistics sectors and you’re interested in a new adventure.
You will also possess:
- Able to manage large portfolios or volumes
- Strong interpersonal skills
- string communication skills across various communication channels i.e., Verbal, Email
- A keen sense to learn and grow
- Excellent stakeholder engagement skills
- Experience with the scheduling of works for internal teams and external vendors
- Highly proficient in SAP or similar systems
- High standards across compliance and driving safety, health, environment, and quality (SHEQ) in your work
- A current unrestricted drivers’ licence
- Be able to complete a pass a National Police Check and Medical
- Be able to provide evidence full covid vaccinations
- Be self sufficient but also have the ability to work with multiple stakeholders and in a team across multiple departments
