The Opportunity
We are seeking an experienced Contract Administrator & Office Manager to provide high quality administrative and office management support to our project team. Reporting to the Project Director, this role plays a critical part in supporting site operations, subcontractor compliance, document control and stakeholder coordination across the contract.
This position offers flexibility and can be worked full time, part time, or as a job share, making it ideal for experienced administrators seeking balance without compromising on impact.
Key Responsibilities
In this varied and hands on role, you will:
- Manage subcontractor and supplier compliance, registers and records, including SHEQ induction documentation (in conjunction with the SHEQ Advisor)
- Act as the primary point of contact for site visitors and subcontractor administration
- Maintain site registers, including subcontractors, assets, vehicles, fuel cards and equipment
- Oversee controlled document management and administration of Ventia and client shared team sites
- Coordinate and manage Outlook meeting calendars and annual leave calendars, including client reporting
- Take, distribute and maintain accurate records of meeting minutes across management, toolbox, operational and client meetings
- Perform finance administration activities including purchase requisitions, purchase orders and goods receipting
- Undertake reception duties, site inductions, mail handling and general office coordination
About You
You are an organised and proactive administrator who enjoys working in a fast paced, project based environment. You build strong relationships easily, take pride in accuracy, and thrive on keeping things running smoothly.
You will bring:
- Demonstrated experience in contract or project administration and office management
- Strong working knowledge of SAP/Ariba and the Microsoft Office suite
- Excellent time management, prioritisation and organisational skills
- High attention to detail with a strong compliance and risk awareness mindset
- Confident communication skills and the ability to work collaboratively within a team
Desirable:
- Previous experience within Ventia or across multiple service lines
- Experience supporting geographically dispersed teams
- Ability to build effective working relationships with multiple managers and support functions
