About the Role
As Ventia’s Operations Administrator, you will be at the centre of our operations, helping ensure the office runs smoothly and our leadership team is well supported each day.
You will support the General Manager and Operations Managers with administration, diary coordination, travel bookings, and meetings. You will also play a key role in keeping day to day office activities running efficiently, coordinating events, and maintaining strong connections across internal teams and external stakeholders.
This is a full-time position based in Ventia’s Toowoomba office, working Monday to Friday.
Key Responsibilities
- Provide high level administrative support to the General Manager and Operations Managers
- Manage diaries, meetings, and prepare supporting materials
- Coordinate travel bookings including flights, accommodation, and itineraries
- Support reporting, documentation, and general office administration
- Oversee office operations including supplies, facilities, and service providers
- Assist with onboarding activities including workspace setup and access
- Plan and coordinate meetings, workshops, and team events
- Prepare documents, reports, and presentations to a high standard
- Act as a key contact between leaders, teams, and external stakeholders

What We’re Looking For
- Demonstrated experience in a senior administration, office support, or executive support role
- Proven ability to support senior leaders in a fast paced environment
- Strong organisational skills with the ability to manage competing priorities
- Experience managing complex diaries and travel coordination
- Advanced skills in Microsoft Office suite
- Excellent communication skills and strong stakeholder engagement capability
- A proactive approach with the confidence to work independently
