About the Role
We’re looking for a proactive, highly organised Executive Assistant who thrives on balancing executive support with our Capital Directors, Capital Project Teams and departmental continuous improvement. If you enjoy supporting others, creating clarity, building relationships, and driving meaningful outcomes, this is a great opportunity to contribute and shape how the team operates.
In this role, you will provide executive support to two Capital Directors and their teams that are based between the Perth Corporate and Booragoon Project office and will be a trusted partner who brings structure, momentum whilst strengthening collaboration. Your key purpose and activities will include:
Provide high‑level, confidential support including managing calendars, general administrative duties and coordinating with key stakeholders to ensure meeting requirements are met.
Assisting with presentations, weekly and monthly report.
Support onboarding processes for new starters and contribute to team culture, engagement, and capability by acting as a systems expert and providing training on office and Alcoa platforms and procedures.
Oversee travel logistics for executives and designated team members as required managing visas, accommodation, itineraries, credit card reconciliations, and related mobility requirements.
Organise events (workshops, forums, recognition activities), prepare reports and presentation materials, support budget administration, and collaborate with other EAs to streamline processes.

What you can bring to the role
Extensive experience providing high‑level administrative support to multiple senior leaders within complex organisational environments, with a strong understanding of executive responsibilities, expectations, and confidentiality obligations.
Exceptional organisational, communication, and interpersonal skills, with a demonstrated ability to manage sensitive information discreetly.
Proactive, high‑energy approach that contributes positively to team culture, promoting inclusion, collaboration, and a high‑performance environment.
Advanced capability in Microsoft Office and enterprise systems, supported by a solutions‑focused mindset and a commitment to continuous improvement.
High level of self‑awareness with an ability to remain calm under pressure, respond with empathy, and create a supportive, professional atmosphere. Like working as part of a team.
Diploma of Business (desirable), with recent training or certification in contemporary executive assistant practices and technologies considered highly advantageous.
A flexible approach to work, with the ability to operate between Alcoa’s Perth and Booragoon offices, and travel to Pinjarra (if required), balanced with work from home options.
