The Opportunity
Join our City of Sydney portfolio as a Maintenance Planner and play a vital role in the planning, coordination, and optimisation of maintenance activities across a diverse range of assets. Working closely with the Maintenance Services Manager, you will support the effective delivery of both preventive and reactive maintenance programs by forecasting workloads, coordinating resources, and leveraging asset management systems to drive efficiency and performance.
You will be responsible for monitoring progress, supporting performance reporting, and implementing effective maintenance planning practices to ensure reliable, timely, and high-quality service delivery across the portfolio.

Key Accountabilities
- Develop, maintain and monitor maintenance and project work programs using planning and asset management systems to support scheduling, tracking and reporting.
- Coordinate work and service order allocation, ensuring accurate records of progress, completion and status updates.
- Maintain asset management databases, ensuring asset information, documentation and records are accurate, current and accessible.
- Monitor work performance against schedules, identify delays or risks, and escalate issues to relevant stakeholders.
- Prepare maintenance, project and KPI reports to support operational performance and contractual requirements.
- Manage reporting data, correspondence and documentation relating to variations, approvals, extensions and asset records.
- Ensure asset documentation, including assessments, drawings, specifications and photographs, is accurately maintained within approved systems.
About You
- Strong computer literacy, including proficiency with Microsoft Office and asset management systems.
- Demonstrated experience coordinating, monitoring and reporting on programs of work.
- Experience in building maintenance, repairs coordination, asset management or facilities management environments.
- Strong stakeholder engagement, communication and relationship-building skills.
- Excellent planning, organisational and prioritisation skills with the ability to manage competing demands.
- Adaptable, proactive and committed to continuous improvement, innovation and professional development.
- A trade background is desirable.
