The Opportunity
Two opportunities are available to join our City of Sydney portfolio in a newly created Contract Coordinator role, embedded within the Operations team.
The role is responsible for coordinating Ventia’s subcontractor network, including contractor onboarding, performance management, compliance, financial administration, and service delivery oversight. Acting as the key link between Ventia and subcontractor partners, the Contract Coordinator ensures planned preventative maintenance (PPM), reactive maintenance, and operational works are delivered safely, compliantly, and within agreed service levels.
Working closely with Trade Supervisors, Relationship Managers, Schedulers, and operational teams, the role monitors performance, facilitates scorecard reviews, drives accountability for outstanding works, and ensures effective allocation of work across the approved subcontractor panel.

Key Accountabilities
- Coordinate subcontractor delivery of planned, reactive and corrective maintenance services across the City of Sydney portfolio, ensuring safe, efficient and contract-compliant outcomes.
- Monitor work orders, resource allocation, KPIs and service performance to achieve agreed timeframes, quality standards and service levels.
- Manage contractor performance through regular reviews, issue resolution, corrective actions and continuous improvement initiatives.
- Hold subcontractors accountable for delivery commitments, workmanship, compliance, safety and adherence to client expectations.
- Manage escalations, risks, urgent works and operational challenges to support timely and effective service delivery.
- Collaborate with schedulers, operational teams and stakeholders to optimise workforce capacity, maintenance planning and service outcomes.
- Maintain strong contractor and client relationships through effective communication, onboarding, mobilisation and ongoing service management.
- Ensure accurate work order records, reporting, compliance registers, asset information and documentation are maintained to support governance and audit requirements.
- Verify contractor compliance with licences, certifications, insurances, procedures and contractual obligations.
- Ensure subcontractors meet SHEQ requirements, address safety risks and non-conformances, and contribute to audit outcomes and continuous improvement programs.
About You
To be successful in this role, you will have:
- Qualifications or demonstrated experience in Project Management, Contract Administration, Facilities Management, or a related field.
- Experience in Facilities Management, Asset Management, Building Services, or maintenance environments.
- Strong contractor, subcontractor, and stakeholder management skills, with the ability to drive performance and accountability.
- Excellent communication, negotiation, organisational, and coordination skills.
- Proven ability to manage competing priorities in a fast-paced, KPI driven environment.
- Strong attention to detail, compliance management, analytical thinking, and problem-solving capability.
- Experience managing planned and reactive maintenance activities and external service providers.
- Experience reviewing contractor compliance, performance metrics, and service outcomes.
- Advanced Microsoft Office skills and experience using CMMS platforms such as Maximo, SAP, or similar systems.
