About the Role
As the Facilities Operations Coordinator you will play a key role in ensuring all reactive, planned and subcontracted maintenance works within our schools network are logged, tracked and completed effectively. You will be the central point for managing work orders, liaising with school staff and subcontractors, maintaining compliance records and supporting the Operational Lead with accurate reporting and documentation. Your work will directly contribute to creating safe, well-maintained environments for students, staff and the broader school community.
What you will be doing
- Coordinate and administer work orders from initiation to close out (prioritising reactive and planned maintenance tasks)
- Monitoring job progress to ensure completion within timeframes
- Ensuring job documentation is complete and accurate (notes, photos and certificates)
- Supporting audits, inspections and operational reporting
- Ensuring compliance of all subcontractors
- Escalating issues and contributing to continuous improvement of processes while maintaining high WHSEQ standards
Required Skills and Experience
You will ideally have administration experience within a facilities management, property services or maintenance environment.
- Working with children blue card (or ability to obtain) - mandatory
- Solid administration experience
- Competency with the Microsoft Suite, digital systems, reporting tools and document control
- Strong understanding of subcontractor compliance requirements
- Proven ability to manage work orders within FM or asset management systems
- Strong communication skills both written and verbal and the confidence to liaise with all stakeholders
